Complaints: what to do when a withdrawal does not arrive
Most withdrawal problems are solved by the operator's support once the right question is asked. Some are not. This page lays out the route from the first message to the regulator, with the evidence each step needs. ninja-casino.biz is an independent information site: we cannot intervene in a dispute or recover money, but we can make sure you take the steps in an order that works. The full payout process is explained in the withdrawal guide; the guides start on the home page.
First, read the status
A request that shows Pending or Processing is still in the queue or in review; one that shows Approved or Sent has left the operator's hands and is with the bank or the network. Rejected should come with a reason. Before complaining, check the obvious causes: is the account verified, is a bonus still active, does the bank account belong to you, and is the payout going to the same method as the deposit? Many disputes end here.
Collect evidence before you write
- Screenshots of the cashier history with the request ID, date, amount and status.
- Every message from the operator about documents, bonuses or limits.
- The clause of the terms and conditions the operator refers to, copied with its date.
- Proof that documents were sent, with dates.
- A short timeline: deposit, play, request, each status change, each contact.
The route, step by step
| Step | What to do | Goal |
|---|---|---|
| 1. Live chat | Ask what exactly the request is waiting for; get a ticket number | A concrete reason |
| 2. Written complaint | E-mail with request ID, amount, dates, screenshots and a clear demand | A written answer you can show later |
| 3. Escalation with the operator | Ask for the complaint to be reviewed by a supervisor or the complaints team | A final position from the operator |
| 4. Regulator | In Estonia: hasart@emta.ee if the operator is on EMTA's list. Elsewhere: the regulator named in the operator's terms | Outside review |
Estonia: when EMTA can help
The Tax and Customs Board (EMTA) is the only gambling regulator in Estonia and publishes a list of legal gambling organisers. If the operator you are in dispute with is on that list and the dispute remains unresolved after you have gone through the operator's own process, you can write to hasart@emta.ee. Attach the evidence and the operator's final answer. According to EMTA's yearbook, players filed 240 complaints in 2025. If the operator is not on EMTA's list, EMTA has no supervisory lever over it as a licensee — be realistic about that before you deposit, not after.
Outside Estonia
The operator's terms name the licence it holds and the authority that issued it. That authority, or an alternative dispute resolution body it designates, is the next step after the operator's own complaints process. Regulators usually expect you to have exhausted that process first, so keep the operator's final written answer.
Mistakes that weaken a complaint
- Opening a second account or making new deposits while the dispute is ongoing.
- Cancelling the disputed withdrawal and playing the money.
- Sending documents of another person or edited screenshots.
- Public accusations before the written process is complete.
Calm, dated, written communication is what moves a dispute. If you need to contact the operator, our support page lists what to prepare.
